1. Overview

RapidCaster ("we," "our," or "us") operates the website at therapidcaster.com and the RapidCaster application (the "Service"). This Privacy Policy explains what information we collect, how we use it, and what choices you have.

By using RapidCaster, you agree to the collection and use of information as described in this policy.

2. Information We Collect

2a. Google Account Information

RapidCaster uses Google OAuth 2.0 to authenticate users. When you sign in with Google, we receive and store:

• Your Google account email address
• Your display name
• Your Google profile picture URL
• A Google-issued unique user ID

We do not receive or store your Google password. We do not access your Gmail, Google Drive, Google Contacts, or any other Google service beyond what is required to authenticate your identity.

If you connect YouTube (optional, for downloading your own YouTube videos), we request a YouTube Data API read scope. This allows us to initiate downloads of videos you explicitly submit. We do not browse, list, or access your YouTube account data beyond what is needed to fulfill your explicit request.

2b. Content You Upload

When you upload a video or audio file, or submit a URL for processing, we store:

• The uploaded file (temporarily, for processing)
• The transcript generated from your audio
• The content outputs generated from your episode (clips, newsletters, captions, show notes, etc.)

This content is associated with your account and is only accessible to you. It is never shared with other users or used to train any system.

2c. Usage Data

We may collect basic usage information such as pages visited, features used, and error events. This is used solely to improve the Service and diagnose technical issues.

3. How We Use Your Information

We use the information we collect to:

• Authenticate your identity and maintain your session
• Process the content you submit and generate your requested outputs
• Store your outputs so you can access them later
• Send transactional communications (e.g., billing receipts) if applicable
• Improve and maintain the Service

We do not sell your personal information. We do not use your content for advertising. We do not share your data with third parties except as described in Section 5.

4. Data Retention

Your account data, uploaded content, and generated outputs are retained for as long as your account is active. You may delete your account at any time by contacting us at support@therapidcaster.com. Upon deletion, your data will be removed within 30 days.

Uploaded video files are deleted from our servers after processing is complete. Only the transcript and generated outputs are retained.

5. Third-Party Services

RapidCaster uses the following third-party services to operate:

• Google OAuth — for user authentication
• Stripe — for payment processing (if you subscribe to a paid plan). We never see or store your full card number.
• Canva — if you use the Canva export feature, your content is sent to Canva's API to create a design
• Anthropic (Claude) — transcripts and content are sent to Anthropic's Claude AI for analysis, summarization, and content generation. Anthropic does not use your data to train their models.
• Resend — for transactional and marketing email delivery. We share recipient email addresses with Resend solely for the purpose of sending emails you initiate.
• Twilio — for SMS message delivery. We share recipient phone numbers with Twilio solely for the purpose of sending messages you initiate.

All audio transcription is performed locally on our servers. Your audio is never sent to a third-party transcription service.

5a. AI Processing

When you process a video or audio file, the transcript generated from your content is sent to Anthropic's Claude AI service for analysis. This includes generating summaries, clip suggestions, newsletters, social media captions, show notes, and other content outputs.

Anthropic processes your data solely to fulfill our API requests and does not use your content to train or improve their AI models. We do not send your original video or audio files to any AI service — only the text transcript.

AI-generated outputs are stored in your account and are only accessible to you.

5b. Email and SMS Messaging Data

If you use RapidCaster's email or SMS features (such as sending newsletters to your audience or CRM messages), we store:

• Recipient email addresses and/or phone numbers that you provide
• Message content that you compose or generate
• Delivery status information (sent, delivered, bounced)
• Send timestamps

This data is used solely to deliver the messages you initiate and to provide you with delivery reporting. Recipient contact information is shared with our delivery providers (Resend for email, Twilio for SMS) only as needed to send your messages. We do not sell or share your contact lists with any other third party.

5c. CRM and Contact Data

If you use RapidCaster's CRM features, you may enter business contact information such as names, email addresses, phone numbers, company names, and notes. This data is:

• Stored in your account and accessible only to you
• Used solely to power CRM features you initiate (pipeline management, outreach, campaigns)
• Never shared with other users or sold to third parties
• Deleted when you delete the contact or your account

You are responsible for ensuring you have the necessary consent to store and contact the individuals whose information you enter into the CRM.

5d. Video File Storage and Retention

When you upload a video or audio file, the original file is stored temporarily on our servers for processing. Once transcription and analysis are complete, the original uploaded file is deleted from our servers.

Generated clips (short-form video segments) are retained for as long as your account is active so you can download them. Transcripts and all generated content outputs are also retained for the life of your account.

If you delete a video from your account, all associated files, transcripts, and generated content are permanently removed.

RapidCaster uses a single session cookie to keep you logged in. This cookie contains a session identifier only — no personal information is stored in the cookie itself. The cookie expires when you log out or after a period of inactivity.

We do not use tracking cookies, advertising cookies, or third-party analytics cookies.

7. Data Security

Your data is stored on servers located in the United States. All data transmission between your browser and our servers is encrypted via HTTPS/TLS. Each user's content is stored in isolated directories and is inaccessible to other users at the application level.

While we take security seriously, no system is 100% secure. We encourage you not to upload content that contains highly sensitive personal information.

8. Your Rights

You have the right to:

• Access the personal information we hold about you
• Request correction of inaccurate data
• Request deletion of your account and all associated data
• Revoke Google OAuth access at any time via your Google Account permissions

9. Children's Privacy

RapidCaster is not directed at children under the age of 13. We do not knowingly collect personal information from children under 13. If you believe we have inadvertently collected such information, please contact us immediately.

10. Changes to This Policy

We may update this Privacy Policy from time to time. When we do, we will update the "Last updated" date at the top of this page. Continued use of the Service after changes are posted constitutes your acceptance of the updated policy.
